Legal Administrative Assistant – Family Law

Ligris & Associates, P.C. is seeking an experienced, detail-oriented Legal Administrative Assistant to support our growing Family Law practice.
This position plays a central role in keeping matters organized, deadlines on track, and attorneys and paralegals working efficiently. The Legal Administrative Assistant will be responsible for case and file management, calendaring, court filings, document organization, and communication across the legal team.
The ideal candidate is highly organized, technologically proficient, and dependable, with a strong commitment to accuracy, follow-through, and exceptional client service. Prior family law experience is strongly preferred.
Key Responsibilities
Case and File Management
- Open new matters and establish a clean, consistent digital file structure from the outset.
- Maintain complete, accurate, and easily navigable electronic case files throughout the lifecycle of each matter.
- Organize, label, and save pleadings, correspondence, discovery, financial documents, and other case materials using established firm protocols.
- Apply consistent file-naming and document-management standards across all matters.
- Help ensure that attorneys and paralegals can quickly locate the information and documents they need.
Calendaring and Court Deadlines
- Calendar court orders, filing deadlines, hearing dates, conferences, and other critical dates immediately upon receipt.
- Monitor continuances, rescheduled hearings, and changes to court deadlines and promptly update the shared calendar.
- Proactively identify scheduling conflicts, approaching deadlines, and items requiring follow-up.
- Coordinate scheduling among attorneys, paralegals, clients, courts, and opposing counsel as needed.
Court Filings
- Prepare and submit accurate, timely electronic filings during regular business hours.
- Manage filings through Massachusetts court e-filing systems, including eFileMA.
- Independently prepare and file routine notices and other standardized documents using firm templates.
- Confirm acceptance of filings and promptly address rejected or returned submissions.
- Maintain familiarity with applicable court procedures, filing requirements, and administrative rules.
Communication and Team Coordination
- Serve as a key administrative point of coordination for each assigned matter.
- Ensure that attorneys, paralegals, and administrative team members are kept informed of important case developments.
- Draft clear, professional correspondence and routine communications.
- Communicate deadlines, filing updates, scheduling changes, and case developments promptly.
- Anticipate information needs and identify potential issues or administrative bottlenecks before they affect a matter.
- Handle confidential and sensitive information with professionalism, sound judgment, and discretion.
Qualifications
- Prior family law experience strongly preferred – candidates with practical knowledge of family law matters, terminology, court procedures, and workflows will receive priority consideration.
- Hands-on experience with electronic filing systems required, preferably including Massachusetts eFileMA.
- Exceptional organizational skills and meticulous attention to detail.
- Ability to manage multiple matters, calendars, and deadlines in a fast-paced professional environment.
- Strong proficiency with Microsoft Office, including Word, Outlook, and Excel.
- Excellent written and verbal communication skills.
- Strong judgment, initiative, and follow-through.
- Ability to work collaboratively while also managing responsibilities independently.
